We take municipal body and collision work on a purchase order, and we write the estimate in the line item format a purchasing department can actually process. All work happens at our Yorba Linda shop. Fleet divisions buying across police, public works and general services get one vendor for paint, panel and graphics.

What we see from this customer
A general services fleet division does not buy repairs the way a retail customer does. There is a dollar threshold above which a job stops being a field purchase order and becomes a formal bid item that has to reach an agenda, and that threshold is set by your charter rather than by us. We write estimates knowing that. Every line shows the labor operation, the hours, the applicable rate, the part number and the part cost, so a purchasing analyst can see whether the total clears the threshold before anybody spends two months finding out the hard way.
The other calendar that matters is the fiscal year that closes June 30. Every spring we hear from fleet supervisors with encumbrance left on a body repair account and eight weeks to use it, and the units they want to send in are the ones that have been running with a caved rear corner since November. That is a real constraint and it is worth planning around. Getting a purchase order encumbered before June 30 against a written itemized estimate is what protects the money, even when the vehicle physically comes through the door in July.
Standardization is the part cities underestimate. A fleet of white half ton pickups looks uniform right up until three of them have been repainted by three different shops and you can see it in a row at the yard. We retain the mixed formula, a sprayout card and the graphic layout for your seal, door lettering and unit numbering, so the fourth truck matches the first. All of it happens at our Yorba Linda facility. We do not run yard work, field work or fleet route visits, so the unit has to come to La Palma Avenue.

Concern 01
Our purchasing rules will not let us pay a vendor who cannot take a purchase order.
We accept purchase orders and provide a completed W-9, a certificate of insurance, our California BAR license ARD00288521 and EPA identifier CAL000367879, plus whatever vendor registration form your agency uses, so the file can be opened before the first job.
Concern 02
Every shop writes an estimate our finance department has to rebuild by hand.
Estimates come out itemized by labor operation, hours, rate, part number and part cost, with sales tax and the hazmat charge shown separately. Nothing is bundled into a lump sum an accounts payable clerk has to take on faith.
Concern 03
We have five identical white trucks and the repaired ones never match the rest.
We keep the mixed formula, a sprayout card and the graphic layout for your seal and unit numbers, so truck four sprayed next year is matched against a documented record rather than a faded panel.
Concern 04
If the repair total crosses our formal bid threshold the job stalls for two months.
We give you the honest total early and in a readable format so it can be routed correctly the first time. Where your code allows it, we separate a safety critical repair from deferred cosmetic work on two documents.
Concern 05
Our fiscal year closes June 30 and unspent body repair money goes away.
A written itemized estimate is enough for your purchasing office to encumber a purchase order before June 30 even when the vehicle arrives in July. Call in April, not the third week of June.
Concern 06
The division that vehicle belongs to has no spare unit at all.
Tell us at intake which unit has no backup. We sequence parts ordering ahead of teardown on that vehicle so it is not sitting in a stall waiting on a part we could have ordered on day one.

Do you accept a city or county purchase order?
Yes. We accept purchase orders and provide the documents a purchasing department asks for: a completed W-9, a certificate of insurance, our California BAR license number ARD00288521, our EPA identifier CAL000367879, and whatever vendor registration form your agency uses. We do not claim any cooperative purchasing agreement or approved vendor status you have not granted us. Vendor registration is your process. We complete the paperwork side of it, and we would rather do that before the first unit arrives.
What does your estimate look like to our finance department?
Itemized. Every line shows the labor operation, the hours, the applicable rate, the part number and the part cost. Body and paint labor is $210 per hour, mechanical and electrical is $260 per hour, paint supplies run $55 per paint hour, body supplies $5 per body hour, hazmat is a flat $45, and sales tax is 7.75 percent. Nothing is bundled into a single line that an analyst has to accept without seeing the math behind it.
Can you keep our fleet colors and city seal consistent across departments?
That is the main argument for using one shop. We retain the mixed formula, a sprayout card and the graphic layout for your seal, door lettering and unit numbering. When truck four arrives eighteen months after truck one, we are matching against a documented record rather than eyeballing a sun faded panel. On schemes no longer available as printed vinyl, we reproduce them in paint, which holds up better in inland Southern California sun anyway.
Our fiscal year ends June 30. How should we time the work?
Call in April, not the third week of June. A written itemized estimate is what your purchasing office needs to encumber a purchase order against the closing fiscal year, and that encumbrance protects the money even when the vehicle physically comes in during July. Waiting until the last two weeks means competing with every other department doing exactly the same thing, and the usual outcome is a lapsed appropriation instead of a repaired truck.
Do you send a truck out to our corporation yard?
No. All work is performed at our Yorba Linda facility at 23281 La Palma Avenue. We do not run yard work, field work or fleet route visits. For a fleet division that usually means arranging a driver or a tow. It is worth planning intake so several units from different departments come through in a deliberate sequence rather than one at a time scattered across a fiscal year.
