The short answer

Property management work runs on approval cycles, not repair timelines. We write estimates detailed enough to survive a board vote, state how long the pricing is good for, and bill one invoice per property so the cost lands on the right ledger. Common jobs are shuttle van damage, maintenance truck repair, and resident-caused garage strikes.

What we see from this customer

The thing that makes this work different is that the person who authorizes the repair is not in the room when the damage happens. A community manager sees a dented shuttle van door on Monday, the board meets on the third Thursday, and the reserve line item it comes out of was set last November. So an estimate that says one number and nothing else is useless to you. Ours breaks out labor hours at $210 per hour, parts, and materials as separate lines, because that is the format a board actually approves against.

The vehicles themselves are a mixed bag. A senior community in Irvine or Escondido runs shuttle vans and paratransit vans that carry residents, so a sliding door that binds or a wheelchair lift that will not cycle is an access problem, not a cosmetic one. On the maintenance side it is utility trucks, cargo vans full of tools, and golf carts. The single most common damage we see is a resident backing into a community vehicle in a subterranean garage, which means there is usually another party carrying coverage and it is worth documenting properly.

Billing is where we can save you the most administrative time. Tell us the property code at intake and each unit gets invoiced separately under it, so nothing has to be split by hand later between an HOA operating account and a management company account. We also keep the estimate and the photographs on file per property, which matters when a board member two years later asks why the reserve was drawn down. Everything is repaired at our Yorba Linda facility. Vehicles have to be brought here, including golf carts, which usually means a trailer.

The board has to approve the expense and the estimate has to hold up in a meeting I am not attending

You get an itemized estimate with labor hours by category, parts listed individually, materials, tax at 7.75 percent, and photographs of the damage attached. It is written so a board member who has never seen the vehicle can follow it. Tell us your approval date and we will tell you how long the pricing holds, which is normally enough time to clear one meeting cycle.

Repairs for several properties end up on one invoice and someone has to split them by hand

Give us the property code or community name at intake and each vehicle is invoiced under it separately. One document per unit, per property. If a management company account and an HOA operating account are both involved, we can split at the invoice level so your bookkeeping does not have to unpick a combined bill after the fact.

Concern 03

A resident damaged a community vehicle and I have no documentation to pursue their coverage

Photograph the vehicle at intake before anything moves, and we do the same. Our estimate itemizes the damage by panel and mechanism, which is what a third party carrier needs to accept the claim. Garage strikes usually come with a resident, a unit number and a policy behind them. What kills those recoveries is a repair invoice that just says body work.

The reserve budget was set months ago and this repair was not in it

Then we price the repair honestly and separate what is urgent from what can go into the next cycle. A dented panel with no corrosion exposed can wait. Exposed bare steel, a door that will not seal, or a lift that will not cycle cannot. We will put that split in writing so it is a defensible recommendation rather than your judgment call alone.

A shuttle van being down means residents miss appointments, which becomes a complaint at the next meeting

Tell us that at intake and we sequence it first. Access vehicles are the ones we push. Doors, lifts, seat and floor damage, and body repair that affects sealing are the items that take a shuttle out of service, and most of them are days rather than weeks. Structural or refinish work that needs booth time takes longer and we will say so up front.

Golf carts and small property vehicles get refused by most body shops

We take them. Golf carts, small utility vehicles and community maintenance carts get body panel repair, refinish, corrosion treatment and twelve volt electrical work here alongside full size units. They have to be trailered in, since all work is performed at our Yorba Linda facility, and a cart is usually a short job once it arrives.

Frequently asked questions

Can you hold pricing while the estimate goes to the board?

Tell us your meeting date at intake and we will state how long the estimate is good for. One approval cycle is normally workable. What moves is parts pricing, which we do not control, so on a job with a long parts list we will flag which lines are exposed to that. Board approval timelines are a known part of this work and we plan around them.

Can each property be billed separately?

Yes. Give us the property code or community name at intake and each vehicle is invoiced under it, one document per unit. That keeps an HOA operating account and a management company account clean without anyone splitting a combined invoice afterward. We keep the estimate and photographs on file per property as well, which is useful when a reserve draw gets questioned later.

A resident backed into our community shuttle. How does that get handled?

Document it before it moves. Photographs of the vehicle, the location, and the other vehicle if it is available. Our estimate itemizes damage by panel and by mechanism rather than as a lump sum, which is what a third party carrier needs to accept it. We work direct with Progressive, GEICO, State Farm, AAA SoCal, Mercury, Allstate and the other major carriers on those claims.

Do you work on golf carts and small property vehicles?

Yes. Body panel repair, refinish, corrosion treatment, seat and canopy hardware, and twelve volt electrical work on community carts and small utility vehicles. They need to be trailered to us, since all work is performed at our Yorba Linda facility and we do not travel to properties. Cart jobs are usually short once the vehicle arrives, so they schedule easily around larger units.

Can you come out to the property to look at a vehicle?

No. We are in-shop only at Yorba Linda, with no route service and no work performed on site. For an initial read, send photographs and we will tell you by phone whether it is a small job, a booth job, or something structural. That conversation is usually enough to decide whether it is worth trailering in or scheduling a drive.
